In-store sales detected, set the rule

Updated

The task "In-store sales (Shopify POS): set the rule" appears once per Shopify connection, as soon as the first order from Shopify POS arrives and no rule applies to the connection yet. Because sales are held until you decide, owners and admins also get an email right when the task is created.

What happened

Your connection dates from before Rechnungskit detected in-store sales. That is why it has not been settled yet who books in-store sales. New Shopify connections do not invoice in-store sales from the start.

Until you decide, Rechnungskit holds in-store sales: they get no document, and their payments wait. On the dashboard the task therefore carries the label "Invoicing on hold". A wrongly issued invoice could not be taken back, while a held sale costs nothing. Your customer at the till has the receipt.

Why Rechnungskit asks

Sales at the till are usually booked by a POS app with a TSE (the German certified security module for tills), including receipt, end-of-day closing and cash book. If the same sale also got an invoice from Rechnungskit, the revenue would appear twice in the books. Only you know which app books it.

How to resolve it

  1. On the dashboard, click "Set rule" on the task. You land under Connections → Document rules at the card "In-store sales (Shopify POS)".
  2. Pick a rule for your Shopify connection:
    • Do not invoice, my POS app books them, if you use a POS app with a TSE at the till (for example OpenFiskal).
    • Invoice like online orders, if you do not use your own POS app.
  3. The choice saves immediately.

If you choose "Do not invoice", the held and open in-store sales show up under Orders as "POS". Their payments do not count as revenue, and related tasks close.

If you choose "Invoice like online orders", the held sales get their document. Invoices already issued stay unchanged (GoBD).

If you only mark the task as done in the "To review" tab, no rule applies. Sales stay held, and the next in-store sale opens a new task.

When the task closes on its own

As soon as you save a rule for the connection on the Document rules page.
