Check a silent webhook connection

This task shows that the real-time path between your shop or payment provider and Rechnungskit has probably stopped working. On the dashboard and under Invoices in the "To review" tab it shows as "Review task", with a text that describes the case. The task reminder by email, which is in German, lists it as "Webhook-Verbindung still: Shop/Zahlungsanbieter prüfen".

What happened

Rechnungskit normally receives orders and payments instantly by webhook. In addition, a safety net syncs every four hours. It also checks whether the webhooks are still arriving. The task comes in three forms:

"The … webhook hasn't received anything for more than 72 hours" The webhook has been silent for more than 72 hours while payments keep arriving through the sync in the same period. The real-time path is probably dead, for example disabled by the shop.
"The … webhook has never received anything since the connection was set up" With WooCommerce: the webhook has never delivered anything; orders from the last 72 hours only came in through the sync.
"Your shop reports … order(s) with …" With a payment provider: your shop reports orders with this provider, but the connection has not delivered a single payment yet, neither by webhook nor by fetching.

Rechnungskit checks the two "never" cases only once the connection is at least 72 hours old. Quiet connections without current sales do not trigger the task.

Why Rechnungskit stops here

Without payments no documents are created, and without an error message nobody would notice. So Rechnungskit does not rely on the sync alone but reports as soon as the actual path goes quiet.

What Rechnungskit already handles itself:

  • With Stripe, Rechnungskit uses your key to check the webhook for every new task. It switches a webhook that Stripe disabled back on, adds missing events and fetches missed payments. The result appears as "Diagnosis" in the task text.
  • With WooCommerce, Rechnungskit reactivates paused webhooks in the shop itself. While the webhook is silent, it fetches orders every 15 minutes.

How to resolve it

  1. Read in the task text which provider is affected and open Connections → Connect.
  2. Check the credentials, account and webhook of that connection. With Stripe, the diagnosis in the task text tells you what is wrong.
  3. With WooCommerce, if the message stays, look in the shop under WooCommerce → Status → Logs → webhooks-delivery, or reconnect.
  4. With PayPal, "Transaction Search" must be enabled on the REST app, and the app must belong to the account that receives the shop payments.
  5. If that does not help, disconnect the connection and connect it again.
  6. Then click "Sync now" under Payments. This fetches missed payments from the provider. You don't need to fetch Stripe; there the diagnosis fetches missed payments itself.

When the task closes on its own

Rechnungskit checks again at every sync, every four hours. The task closes as soon as its trigger no longer applies:

  • A webhook arrives again, or the connection delivers payments again.
  • Or there have been no sales through this connection in the last 72 hours. Then it can no longer tell whether the webhook is missing.
