Kit, the AI assistant
Updated
Kit is the AI assistant in Rechnungskit. You reach it through the chat bubble in the bottom right corner of the app. Kit explains features, shows you where to find the right setting and helps with open tasks. This page shows what Kit can do, how it accesses your data and how you reach a human at any time. Personal support is handled by Christian Häfner, the founder of Rechnungskit, himself.
What Kit can do
Kit keeps its answers short on purpose: the overview first, details when you ask. Write "Explain the first item", for example, and Kit goes into detail.
List your open items
Kit looks into your account and tells you what is open right now, with a count and a link to the place where you deal with it. Anything that blocks documents comes first.
Open items means open tasks, missing details in the settings, products without a classification, orders waiting for shipment, and open receivables.
Give you key figures
| Area | What Kit tells you |
|---|---|
| Revenue | net and gross with VAT for a month, a quarter, a year, the last 12 months or a custom range, each compared with the previous period and the prior year |
| Split | on request by VAT rate (including OSS and reverse charge), country, sales channel, business vs. private customers, product or month |
| Customers | new and returning customers, repeat purchase rate, revenue per customer |
| Subscriptions | MRR, ARR, subscribers, cancellations |
| Payments | incoming payments with refunds, chargebacks and payment provider fees |
| Receivables | open and overdue receivables |
For this, Kit uses the same rules as the dashboard and the report and links the matching page.
Explain, show the way, hand over
- Tell you what's new: ask what's new and Kit lists the newest changelog entries with date and link, in the app and on the website.
- Explain tasks: Kit explains what a task means and what you can do about it, using the help pages of this knowledge base.
- Answer questions about the app: where a setting lives, why an invoice was put on hold, how a connection works.
- Show you the way: Kit names the exact place in the app (Settings → VAT rates, for example) and links to it.
- Hand over: when Kit is not sure how to go on, it hands over to personal support, meaning Christian Häfner, the founder of Rechnungskit.
Overview when you open the chat
When you open the chat, Kit shows a small overview at the top: how many items are open, how many of them block documents, and the most important ones with a link.
Above the input field Kit suggests a few questions, for example "Wie läuft der Monat bisher?" (how is the month going so far?) or "Wie viele Kunden kaufen wieder?" (how many customers buy again?). Tapping one sends it. Once you are in a conversation, the suggestions disappear.
From the second time you open it, the heading reads "Since your last visit" and lists only what is new or has grown. If something is new, the chat bubble shows an orange dot before you even open it. The overview is per project and per person, so everyone on your team sees their own state.
While Kit works on an answer, you see what it is doing, such as "Checking your open items" or "Searching the knowledge base". The answer only appears once it has been fully verified.
How Kit accesses your data
- Only readswhat your role may see, without changing, saving or deleting
- Gets totalssums, counts and shares, no individual customers
- Logsevery access with time, person and result
- Read-only: Kit cannot change, save or delete anything in your account. This is built into the system, not just a rule for the AI.
- Only your active account and project: Kit sees exactly the account and project selected in the account switcher at the top, and only what your role is allowed to see. If you ask about another company, Kit points you to the account switcher.
- Numbers only from your data: before an answer appears, the server checks that every number and every company name in it comes from your account data, from this knowledge base or from your question. If something does not match, Kit answers "I can't answer that reliably right now" and hands over to personal support.
- Logged: every time Kit accesses your account, the time, the person and the result are logged.
- Little data: for the overview, Kit reads counts and types of open items, not customer names, addresses or order texts.
- Totals only: for key figures Kit only gets sums, counts and shares, plus product names when you split by product. Kit never names individual customers (names, email addresses, addresses) or individual invoices and invoice numbers, not even when you ask. You find those in the customer list and the invoice list.
How Kit counts
| Figure | Rule |
|---|---|
| Revenue | counts by invoice date, without drafts and without sold multi-purpose vouchers. Cancellations and credit notes reduce it. |
| Customer | an email address on the invoice. Invoices without an email are therefore missing from the customer figures. |
| Payments and fees | count by the day they came in, like in the report |
What Kit deliberately does not do
- No changes: Kit does not change settings or carry out actions. You make and confirm every change yourself in the app. This matters most for anything that cannot be undone, such as going live or a cancellation.
- No files: Kit does not download files or send anything, for example invoices as PDF.
- No tax advice: in Germany, providing assistance in tax matters as a business is reserved for those authorized to do so (§ 5 Abs. 1 StBerG). For tax questions about your specific case, Kit explains the basics and refers you to your tax advisor.
- Nothing made up: Kit does not make up features. If the knowledge base does not cover an answer, Kit says so and escalates instead of guessing.
Watch the demo
You only get access to the demo account by email. Two ways to get there:
- In the chat on rechnungskit.de, tap "Demo ansehen", pick what you sell (online shop, SaaS or subscriptions, courses or digital products) and enter your email address.
- Or go to rechnungskit.de/demo: Kit walks you through order, invoice and DATEV export in three steps, without signing up, and then offers you access by email.
Clicking the link in the email confirms your address and opens the demo account that fits you:
- If you sell through an online shop, you see a coffee shop.
- If you sell courses or digital products, you see an online academy with one-off purchases (course, e-book, templates) and a club subscription.
- If you sell without a shop or with SaaS subscriptions, you see a SaaS company.
The link works for 7 days. You only get tips by email if you turn on the optional tips switch. The demo does not depend on it.
The demo account is a sample account with example data and is read-only: you can look around, but you can't change or connect anything. To test with your own shop, you use your own account in test mode.
Talking to a human on the website
Above the input field of the chat on rechnungskit.de it says "Mit einem Menschen sprechen" (talk to a human), with a photo of Christian Häfner. There you write directly to him, the founder of Rechnungskit: enter your email address and your question, then send. Your conversation with Kit so far goes along with it, so you don't have to repeat anything.
The reply usually comes by email within a few hours on working days. If Kit can't answer a question reliably, the chat offers this route on its own. Your address is only used for the reply, not for marketing.
AI or human, your choice
In the chat you can switch between AI and Human at any time:
| Mode | Who answers | When |
|---|---|---|
| AI | Kit | right away |
| Human | personal support: Christian Häfner, founder of Rechnungskit | usually within a few hours. If you're not in the app at the time, you also get the reply by email, with a link back to the chat. |
Kit also switches to Human on its own when it can't answer a question reliably, for individual tax questions, and when the question is about your Rechnungskit invoice, cancelling or deleting your account.
Support can also write to you first, for example when something in your account is waiting for you (a broken connection, an open task). The message appears in the Kit chat and also arrives by email if you're not in the app at the time. These conversations are set to Human, so no AI answers them.
Language
Whether Kit answers in German or English depends on the language you set in the app. On the website, Kit follows the language of the page.
The knowledge base is written in German and stays the only source for English answers too; Kit only translates what it says. German technical terms such as GoBD (the German rules for proper bookkeeping and archiving), USt-IdNr. (VAT ID) or Storno (cancellation invoice) stay as they are and get a short English explanation.
Kit always links the German help page. Most help pages also exist in English, and you switch to them with the language switch on the page. The notification emails from support are in German.
Attaching images
You can attach images once you have switched the chat to Human. The AI can't read images, personal support can.
- How: in Human mode, the paperclip appears next to the input field. You can also drag and drop the image into the chat.
- Formats: image files only (JPEG, PNG, WebP).
- Shrunk first: the browser shrinks the image before uploading it, which saves data.
- Viewing: clicking an image in the conversation opens it full size.
- From support too: support can send you images. If you're not in the app at the time, the image is included in the notification email.
- Deletion: chat images are deleted automatically after 90 days.
Labeling
You are chatting with an AI, and you can always tell: from the AI badge in the chat, the sender name "Kit · AI" and the note below the input field. Answers are generated automatically by an AI (Art. 50 of the EU AI Act).
Your chat messages are stored so that support knows the conversation when it is handed over. You find details in the privacy policy.
Where to find it in the app
Rechnungskit is not a tax advisory or law firm. This article explains general principles and does not replace advice from a tax advisor (Steuerberater, § 5 StBerG) or a lawyer (§ 3 RDG). Rechnungskit is built for businesses based in Germany and prepares documents, tax rates and bookings automatically. How your specific case is treated remains your decision, ideally together with your tax advisor or a lawyer.
